Roles & Responsibilities

The Vice President acts as the president’s representative in their absence. This person must remain familiar with the activities, financials, and overall organizational needs. They will preside at meetings in the president’s absence, perform administrative duties delegated by the president, serve as senior project manager for all co-directors and project coordinators, and establish an operations calendar of all events for the year. The Vice President manages the follow-through of the project coordinators to ensure that all timeliness and procedures are successfully implemented. This position may be served by one individual or two individuals as Co-Vice Presidents. This is a voting position on the board.

The Treasurer is the authorized custodian of the funds of the organization. The treasurer receives and disburses all monies indicated in the budget and prescribed in the local bylaws or as authorized by action of the organization. They serve as chairperson of the budget and finance committee, issue receipts as needed and make weekly bank deposits (more often if receipts on hand exceed $250), and maintain an accurate account of all monies received and disbursed. The treasurer presents a current financial report at meetings including bank statements, reconciliations, and financial statements. The treasurer is responsible for reconciling bank statements and resolving discrepancies as well as filing all annual tax forms. The treasurer will work with the audit committee and submit records as needed upon request or at the end of the year. This can be served by one individual or as Co-Treasurers. At least one individual with an accounting background is highly advisable. This is a voting position on the board.

The Secretary shall keep accurate records of the proceedings of the organization and reporting to the membership. The secretary must ensure the accuracy of the minutes of the meetings and have a thorough knowledge of the organization’s bylaws. The secretary will maintain an accurate record of the minutes, approved bylaws, current membership, and committees (and their members). They will record all business transacted at each meeting of the boosters as well as any executive board meetings. This position does not need a second and will only be served by one individual. This is a voting position on the board.

The Director of Special Events will provide supervision and support the following: planning and preparation, facility scheduling and calendar, technology requests, and implementation of all special events hosted or provided by the organization. These events may include banquets, concerts, performance venues, camps, or fundraisers. The Director of Special Events serves as project manager for all special event coordinators, assisting them in establishing an operations calendar and timeline of all logistics for events. Finally, they will manage the follow-through of project coordinators to ensure that all timelines and procedures are successfully implemented. This position may be served by one individual or two individuals as Co-Directors of Special Events. This is a non-voting position on the board.

The Director of Public Relations and Communications will provide support in planning and preparation, facility scheduling and calendar, technology requests, and implementation of all public relations and communicates provided by the organization. They may include, but are not limited to, social media accounts, local newspaper submissions, public radio and TV announcements, community event calendars, booster community promotion and awareness, email address database, working with the directors to provide information for band update emails, and website content updates (and management if knowledge of the WordPress platform). This position may be served by one individual or two individuals as Co-Directors of Public Relations and Communications. This is a non-voting position on the board.

The Director of Revenue is a position of global project management that has a primary objective of raising revenue for the organization (sales, Jazz Gala, PICBF, Donation Drive, Sponsorships). The Director of Revenue will provide supervision for the planning and preparation, facility scheduling and calendar, technology requests, and implementation of all revenue generating and fundraising projects and events hosted or provided by the organization. These events create revenue to provide the organization to support the various enrichment and fee reduction needs of the organization’s budget. The Director of Revenue should look for ways to increase profitability by working with project coordinators throughout the year on all events. This is a non-voting position on the board.

The Volunteer Coordinator is responsible for creating, managing, and fulfilling the organizations volunteer needs at all events throughout the year. They will work with project coordinators to identify volunteer needs for each project, create an event on signup.com, and work with the Director of Public Relations and Communications to promote volunteer needs to the booster community. The Volunteer Coordinator will also be responsible for ensuring that families who signed up for volunteer hours are completing or on track to complete their hours by the May Concert. They will communicate with families who are behind on their hours and provide opportunities to complete the hours. Following the May Concert, the Volunteer Coordinator will work with the Treasurer(s) to send invoices to any families who signed up for discounted fees who have not completed their hours. This is a non-voting position on the board.

The Uniform Coordinator is responsible for overseeing all aspects involving uniforms for the organization. Uniforms for the fall must be ordered by June 1st to arrive on time for fall performances and all student uniform measurements must be taken during May rehearsals. At the end of the season, the uniform coordinator will be responsible for getting uniforms cleaned and checking uniform pants and identifying any in need of replacement, providing a report to the board at the January meeting. This is a non-voting position on the board.

Coordinator of (_________) will work with the Director of Events on one specific event host or provided by the organization. Coordination of an event includes the planning and preparation, facility scheduling and calendar, technology requests, and implementation of all other items related to said event. You’ll work with the Director of Events, Director of Public Relations and Communication, as well as likely the Volunteer Coordinator and possibly the Director of Revenue. These events include, but are not limited to, Plainfield Fest Parking, Parent Preview Night BBQ, Marching Band Community Night, Plainfield Invitational Band Festival, Jazz Gala, and others. There is only one Coordinator per event. This is a non-voting position on the board.
